Introducation
- Collaborative technology consist of many tools used by businesses to
share documents or files with employees.
- There are factors that
businesses have to take into consideration when it comes to sharing
these files such as making sure no private information is on the files or
make sure it isn’t an offence to any member of staff.
Examples of collaborative technologies
related to social media
- Google Drive – this is a website where businesses or people can upload and store
documents, photos and videos etc. documents and files etc. can also be shared
with other people and then be edited or commented on by the people it has been
shared with depending on whether you allow them to be able to do so.
- Slideshare – this is when people can privately or publically share their PowerPoint
presentation or word documents etc. with others depending on which they want
to do.
- One Drive – this is another way of being able to save and share documents with
other members of staff or other people, depending on how the document is
shared people can either edit it or comment on it or just look at it.
Collaborative technologies – working
practices
- Online meetings such as skype or FaceTime is free and easy to do as it is via
the internet, there is no time limit for the meeting and good as you can still
see the other person via computer iPad or iPhone etc. however the skype or
FaceTime is used.
- Online documents can be kept on GoogleDocs which can be accessed by other
members of staff depending on who has the ability to access the documents,
these documents within the business would include stock lists, order
spreadsheets of what we have ordered from which company and sales figures
of what has been sold and when so we can see which products are most
popular and the least popular.
- Project management is when meetings and deliveries etc. are managed on a
calendar so each member of staff are able to see what is happening when
such as when stock is being delivered or when a meeting is taking place.
- Good practice has guidelines which have to be followed such as how to avoid
risks, safety and online security measures, confidentiality and data
protection, how to respond to inappropriate content and behaviour etc.
- Risk management is when a company must make a plan of how to avoid risks
when using collaborative technologies, such as plagiarism and threat of libel.
- Safety and online security is important for the business because we will need
to make sure all passwords are strong so no one is able to get into private
information about the business such as financial data and private bank details
and customer information and details.
- Confidentiality and data protection is important as staff personal information
should not be reached by anyone outside of the business so they will need to
make sure staff are only contacted via their work email and telephone
number to help their security whilst they are out of the work place.
How the workplace will use collaborative
technologies

- The business will use a file which can only be accessed by the members of staff such as a
spreadsheet of all the stock.
- Online meetings will be used to order stock from other countries and discuss the availabilities of
each product and explain the sizing's of clothing and how popular the product is before ordering it.
- Each member of staff will have their own business email and telephone numbers so customers can
contact about ordering products or if they have any questions.
- There will be a calendar for all members of staff to be able to look at so we all know who's doing
what within the business when such as when a meeting is happening or when a stock check is
taking place etc.
- The business will use google drive to share pictures with other members of staff such as pictures of
all products for the online store, which will need to be check to make sure all pictures are
appropriate for the online store.
- Each member of staff will have all the documents and pictures and financial data etc. on their own
computers and company iPad and phones etc. and save them all to the iCloud so if something was
to happen to the iPad or phone then the business will always have back up of the information.
- The business will use social media sites to promote their business and build trust with customers by
becoming more well know so people are familiar with the business and the business will use the
sites to also sell products to people around the country.
- Workflow will be controlled by having a rota of which days certain pieces of work will be done and
who by.
